Whether you’re a military family, civilian employee, or contractor, settling into a new post can feel overwhelming - but we're here to help. The accordion below provides essential information and support to guide you through the in-processing experience, housing information, ID cards, and more. These resources are designed to make your transition into the West Point community as smooth and welcoming as possible.

Welcome to the United States Military Academy (USMA), Headquarters and Headquarters Company (HHC), and the West Point community. We are excited to have you join our team and look forward to your arrival. 

We are certain your assignment as a member of USMA will be challenging and rewarding. Our mission is "To build, educate, train, and inspire the Corps of Cadets to be commissioned leaders of character committed to the Army Values and ready for a lifetime of service to the Army and Nation."

HHC, USMA is located at 626 Swift Road, West Point, NY 10996, Room 103. Upon arrival, report to HHC, USMA to sign in from leave. We are open from 0900 to 1600 Monday-Friday, except for holidays. During the peak PCS season, May-August, in-processing will be conducted at 0900 and 1300 Monday-Friday. If you arrive after hours, email Headquarters and Headquarters Company or call me or the 1SG to let us know that you have arrived.

We are here to assist you in your transition. Your sponsor will contact you directly with additional information, but feel free to contact us with any questions. A list of key points of contact for HHC USMA is provided in the left column. Again, welcome to the team!

  1. Physical arrival at West Point
    1. Arrive with the following documents:
      1. PCS Orders (with amendments, if applicable)
      2. Approved IPPS-A Absence Request
    2. Report in uniform to:
      1. Location: 626 Swift Rd, Room 103 (building just north of the bowling alley)
      2. Timeline: No later than (NLT) the last day of approved PCS Leave or House Hunting Leave
        1. After duty hours, weekends, or holidays:
          1. Sign in at MP Station, 616 Swift Rd West Point, NY:
            1. Email HHC indicating your arrival, so you may be credited the correct date on your BAH form.
        2. If issues prevent timely reporting:
          1. Notify Headquarters and Headquarters Company  as soon as possible to determine the appropriate course of action.
  2. Requesting Additional Leave (if applicable)
    1. For House Hunting Leave or Additional Ordinary Leave:
      1. Submit a new IPPS-A Absence request.
      2. Must be approved by your gaining supervisor and the appropriate approval authority.
    2. Note: IAW AR 600-8-101, you must in-process within 24 hours of arrival.
      1. Additional leave after reporting will only be approved for extenuating circumstances.
  3. Installation In-Processing
    1. May to August:
      1. Attend MPD Initial In-Processing Brief
        1. When: Monday - Friday at 1000
        2. Where: MPD, Bldg 622 Swift Road
          1. What to expect:
            1. Conduct in-processing briefing with MPD
              1. Service Member Responsibilities:
                1. Begin installation in-processing checklist.
              2. MPD Responsibilities:
                1. Distribute in-processing checklist.
                2. Brief on installation resources.
                3. Arrive SM into appropriate UIC in IPPS-A.

West Point officials are committed to the safety and security of every member of our community. It takes an effort by all of us to create and sustain effective emergency preparedness systems.

  • Report an emergency or suspicious activity at West Point:
    • Call 911 and contact the Military Police: (845) 938-3333
  • Emergency information:
    • In any situation, having a plan, staying informed, remaining calm, and preparing to act are the factors in getting through a weather-related emergency.
    • For all official weather-related updates, including changes in operational status (e.g., Code Red), check the West Point Garrison and Community Facebook page for the latest information.
    • We encourage all community members to register for emergency alerts through ALERT! Sponsors can register with their CAC, and household members can be added to the Sponsor's account.
  • Weather condition information:
    • Weather/Roads
    • CODE WHITE: Permissive leave is in effect until the stated time or all day for non-mission essential personnel.
    • CODE RED: Excused absences without charge to leave are granted for non-mission essential employees, effective until the stated time or all day.

Whether you're a military family, civilian employee, or contractor, the accordion below includes key information on clearance procedures, housing check-out, transportation, medical records, and other essential steps. These tools and contacts are designed to support you every step of the way as you close out your time at West Point and move forward with confidence.

  1. Receive assignment notification
    1. RFO for Officers
    2. Assignment Notification email from HRC for Enlisted
  2. Levy Brief
    1. SM contacts applicable Reassignment POC* via email.  POC will email the Levy Brief documents to SM
    2. *Reassignment POCs:
    3. Officers: Ms. Eileen Searles, x8469
    4. Enlisted: Ms. Renee Caldwell, x8490
  3. Complete Levy Brief requirements within 30 days of brief
    1. * ENLISTED ONLY DA Form 5118 – email Headquarters and Headquarters Company for HHC CDR/1SG’s signature (MEDPROS must be current)
    2. Sponsorship: complete part III of DA 5434 and Survey
    3. EFMP Screenings
    4. Reenlistment Requirements (if applicable)
    5. TDY (if applicable)
  4. Reassignment POC* publishes PCS Orders
    1. CONUS: NLT 10 business days of receiving all required levy briefing documentation
    2. OCONUS: 10 business days of receiving gaining command’s approval for family travel and all required levy briefing documentation
    3. *Schedule Household Goods
      1. SM with Orders will create a DPS move application in move.mil. SM must decide which 7 calendar day spread he/she wants for HHGs pick-up dates. Transportation Counselor will contact SM after receiving move.mil application.
    4. Schedule Passport requirements
    5. Activate Government Travel Card: If you have any issues with your GTC,  please contact Mr. Bryan Fox.
  5. Prepare Absence Request in IPPS-A
    1. NOTE: 
      TSP/Carrier must confirm pick-up dates before SM:
    2. (1) Prepares Absence Request
    3. (2) Schedule a Housing appointment
    4. (3) Make IHG Reservation or other Housing arrangements
    5. “To” date must be the day before your report date, even if you plan to report early
    6. “From” date will be the date you plan to depart, unless you are taking Administrative Absence for House Hunting:
      1. If so, an Admin Absence for House Hunting must be put into IPPS-A beginning on your departure date, even though we know you are using the admin absence at the end of your leave and not in the beginning. Your PCS leave Absence request will then start at the end of the Admin Absence. This is due to an issue where you must be on a chargeable absence the day before your report date or IPPS-A will not allow you to depart from USMA and be attached to your gaining unit
  6. Submit absence request
    1. Submit in IPPS-A through your typical routing chain
    2. If there are issues with your chain, submit with the HHC CDR as the supervisor and attach a copy of your orders to the request
  7. Submit approved absence request/orders to MPD
    1. SMs submit Orders and approved Absence Request to MPD at usarmy.westpoint.usag.mbx.personnel-services-branch@army.mil for processing no earlier than 21 days of the leave start date
  8. Receive installation clearing papers
    1. MPD emails clearing papers to SM NET the day before the first day of clearing.
    2. SM must schedule “Final Out” appointment with the Records Manager/PSB ** via email
    3. 10 business days to clear the installation
  9. Start clearing the installation
    1. Each section/agency must be cleared
    2. HHC is the last stop before returning the checklist to MPD
  10. Out-process and sign out of USMA
    1. Out-process and physically sign out with HHC by COB of the last duty day before leave start date (“From” date on your absence request)
    2. Provide a copy of your orders and absence request when out processing HHC
